Talent Acquisition Operations Program Manager

The Talent Acquisition Operations Program Manager is a newly created role on the Americas People Team.  This role will report into the Senior Manager, Americas Talent Acquisition with a focus on developing, implementing and maintaining processes, programs and systems in support of a best-in-class full-cycle hiring experience for both the permanent and contingent workforce.     In this role, you will interface with candidates, managers, interviewers, internal communications, TA and HR partners, as well as third party vendors to create, manage and drive efficiencies across recruiting tools, systems, programs and processes.   

 

This role develops, optimizes, and scales all things related to hiring in close partnership with the recruiting leadership team and stakeholders across the business. We’re a curious, collaborative and execution-focused team with expertise in navigating ambiguity, striving for continuous improvement, and creating scalable processes that enable our team and organization. 

 

In this role, your primary responsibilities will be to:

  • Enable the effectiveness of the Talent Acquisition team by supporting the team both with creating process and efficiencies and supporting the team in various administrative activities such as:
    • Schedule, screen and support candidate/hiring manager interfacing as needed
    • Manage and maintain internal and external job postings, job boards, and employee referral program.
    • Conduct employment-related research and assist recruiting team with candidate sourcing through online resources, Applicant Tracking Tools, and social media.
    • Draft and send out offer letters, support completion/validation fo all background and reference checks, liaise between our hiring managers, operations team, and information technology team to ensure each new hire has their necessary system access, hardware, building access, and appropriate ‘welcome’ gift for their first day
    • Consistently communicate with all new hires and hiring managers to give a status update of the onboarding progress made on a case by case basis
  • Manage the Americas contingent workforce program including owning the operational design/redesign and execution of the contingent workforce life-cycle program, with specific initial focus on developing and scaling the contingent workforce process.
    • Serve as a central point of contact for hiring managers to onboard, manage and offboard contingent workers; acting as a central and escalation point for HR related activities on behalf of the HR organization
    • Perform the tasks associated with the onboarding, maintenance and offboarding of contingent workers; processing of Workday transactions such as data and job changes, position management, job profiles, etc.
    • Liaise regularly with HR business partners, recruiting, finance, internal support teams and hiring managers; develop strong and productive working relationships/high levels of communication with key stakeholders; become known as the ‘go-to’ person for HR support of the contingent workforce
    • Advise, influence, and provide thought leadership on the current contingent workforce experience and anticipate future needs for the program
  • In addition, you will work closely with TA & HR leadership to design, implement and execute various strategic priorities including the following :
    • Design, develop and manage programs to support the enablement of hiring managers that improve efficiencies across the recruiting process and yield high quality and diverse hires (ie. competency-based structured interviews, interview training, intake calls, debriefs).
    • Create an efficient, authentic and high-touch candidate experience by leveraging talent acquisition tools and technology, to enhance communications from the point of candidate acquisition through to start date.
    • Leverage ATS analytics for the purposes of tracking, auditing and presenting insights to the talent acquisition leadership team that highlight program successes while identifying areas for further improvement
    • Create an agency/vendor management plan to ensure accountability, effectiveness, value and return on investment achieved through the partnership of the respective relationship

Qualifications:

  • You have 5+ years of experience in HR Operations or Program Management
  • Experience developing or administering contingent workforce programs
  • Experience using Google Suite, Workday, Jobvite and Linkedin Recruiter
  • You’re a strategic thinker and a problem solver that’s naturally curious. You can connect the dots and have experience translating business challenges and questions into creative solutions, using data and insights.
  • You’re a strong collaborator with excellent written, verbal, and presentation skills. You have experience communicating and consulting with internal teams and cross-functional partners across geographies and cultures to influence change and achieve impact at scale.
  • You are able to operate independently and navigate ambiguity with an emphasis on reaching out proactively for alignment while managing multiple shifting priorities. You have the ability to maintain organization and control in a fast-paced environment with a relentless focus on delivering timely results.
  • You don’t mind digging into the gritty details for the sake of the broader team and doing what needs to be done​
